Privacy notice
What information we collect, why, how we look after it and your rights.
Last updated: 9 October 2026
This notice explains what personal information Lexaura Mediation collects, why we collect it, how we look after it and what your rights are. We have tried to keep it short and in plain English. If anything is unclear, please email us.
Lexaura Mediation is a trading name of Lexaura Mediation & Legal Support Ltd, a private limited company registered in England and Wales (company number 16565652). Our registered office is 7 Throwley Way, Sutton SM1 4AF. Shabnam is the company’s director. We offer mediation and practical support, including paralegal and administrative help. We are not a firm of solicitors.
Lexaura Mediation & Legal Support Ltd is the “controller” of your personal information. This means we decide how it is used and we are responsible for looking after it under UK data protection law (the UK GDPR and the Data Protection Act 2018).
You can contact us about anything in this notice:
If you call, message us on WhatsApp or email us, we collect your name, your contact details and whatever you choose to tell us about your situation.
Our online booking calendar is provided by Cal.com. When you book, Cal.com collects the details you enter on the booking form (your name, email address, phone number if you give it, what the meeting is about and any notes you add) and the time you choose. These details are passed to us so we can arrange your call.
If you use our mediation or other services, we collect the information we need to help you. Depending on the service, this may include:
Your CV, your covering email, your contact details and anything else you choose to include. See If you send us your CV.
Your email address (and your name, if you give it). See Our mailing list.
Our website host, Vercel, automatically records technical information when your browser requests a page, such as your IP address, the type of browser and device you use, the page requested and the time. This is needed to deliver the website and keep it secure. We do not use this information to identify you.
Visitor statistics. We use Vercel Web Analytics, a service from our website host, to count visits to our pages. It records anonymous page views: the page viewed, the website you came from, your approximate location (such as country or city), the type of device, its operating system and browser, and the time. It does not use cookies and does not store anything on your device. To tell visits apart, Vercel works out a temporary code from your browser’s request, which it deletes after 24 hours. We only see totals, such as how many people visited a page; we cannot see your IP address or identify you from these statistics. We use them to understand which pages are useful and to improve the website. We do not use advertising or tracking tools.
Data protection law says we must have a valid reason, called a “lawful basis”, for using your information. Ours are:
Some of the information people share with us is especially sensitive. The law calls it “special category” information. In our work it may include details about your health (for example, if you ask about counselling or CBT), and information that comes up when there are concerns about safety, such as domestic abuse.
We only use sensitive information when we need it to help you. We will ask for your explicit consent before we record and use it. The one exception is a safeguarding concern: if we believe someone is at risk of harm, the law allows us to use and share information to protect them without consent (see Who sees your information).
You do not have to share sensitive information with us, but if you don’t, we may not be able to help you as fully.
In family mediation, parents often tell us about their children: for example their names, ages, needs and living arrangements. This information comes from the parents, not from the children. We use it only to help with the mediation, and we look after it with the same care as other sensitive information.
This website is not aimed at children.
Our Careers page invites you to email us your CV. This is what happens to it.
We do not share your information with anyone else, and we never sell it. The only exceptions are:
If you take part in mediation, the other person in the mediation will hear what is said in joint sessions. We will explain at the start how information is handled in your mediation.
If you ask us to refer you to someone else, such as our partner CBT therapist, a solicitor or a translation provider, we will only pass on your details with your agreement.
Like most small businesses, we use a few trusted services to run the business, which process information on our behalf. This is not the same as sharing your information: these providers handle it to provide their service to us, and they have their own privacy notices.
When we start our mailing list, we will name the email newsletter provider here.
If you pay by bank transfer, your payment is handled by your bank and ours, as with any payment.
Some of these providers are based in the United States, so your information may be stored or processed there. Cal.com and Vercel say in their privacy notices that they protect information sent from the UK under the UK Extension to the EU–US Data Privacy Framework (sometimes called the “UK–US data bridge”). The other providers explain the safeguards they use in their own privacy notices, linked above.
We keep your information for no longer than 12 months after our last contact with you or after our work with you ends. After that, we delete it securely.
The exception is invoices and payment records. We keep these for as long as tax law requires, usually up to 6 years.
If you send us your CV, we keep it for 12 months and then delete it, unless you ask us to keep it for longer (see If you send us your CV).
If you join our mailing list, we keep your email address until you unsubscribe.
Website server logs are kept by Vercel for a limited time under its own policies.
We keep your information secure, on password-protected accounts and devices.
You have the right to:
Some of these rights have limits. For example, we may need to keep payment records for tax, or keep information to protect someone’s safety. If we cannot do what you ask, we will explain why.
To use any of these rights, email us or write to us at the address above. It is free, and we will reply within one month. We may need to check who you are first.
Cookies are small files that websites save on your device. This website itself does not set any cookies. Our visitor statistics (Vercel Web Analytics, see What information we collect) do not use cookies, and we do not use advertising or tracking tools. Our fonts are stored on our own website, so loading a page does not contact Google or other font services.
The online booking calendar on our home page is provided by Cal.com. When the calendar loads, Cal.com may set cookies and store a small amount of information in your browser that it needs for the calendar to work and stay secure. When we checked on 8 October 2026, these were:
Cal.com may change these over time. See the Cal.com privacy policy (opens in a new tab) for details. You can block or delete cookies in your browser settings; if you block Cal.com’s cookies, the booking calendar may not work, but you can still book by phone, WhatsApp or email.
If you follow a link from our website to another site, such as LinkedIn, Instagram, WhatsApp or GOV.UK, that site may set its own cookies.
We plan to start a mailing list with news about our latest events and articles.
We may update this notice from time to time, for example when we start using a new service. The date at the top shows when it was last changed.
If you have a question or concern about how we use your information, please contact us first at Lexaura.team@outlook.com, or write to Lexaura Mediation, 7 Throwley Way, Sutton SM1 4AF. We will do our best to put things right.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint (opens in a new tab) or call 0303 123 1113.
